Report Cards & Approvals
The Report Cards & Approvals module handles the generation, multi-tier staff moderation, and official distribution of student term report cards and transcripts.
Where to find it: Go to LMS → Report Cards (/lms/report-cards).
What is a “Report Card Snapshot”?
In traditional software, report cards are calculated on the fly. If someone changes a grade scale or tweaks a score six months later, old report cards change unintentionally.
In Pasarai ERP, report cards are saved as Immutable Snapshots:
- When you generate a report card, the system creates a permanent, frozen copy of:
- Computed subject marks, grace marks, and percentages.
- The exact grading scale active on that date.
- Term attendance statistics and health metrics.
- Teacher and principal remarks.
- Once approved and released, this record is permanently locked for historical integrity and audit compliance.
Step 1: Auditing Readiness & Generating Snapshots
Before generating report cards, head to the Overview tab (/lms/report-cards?tab=overview).
The Readiness Checklist
The system checks every section against three criteria:
- Mark Entry Complete: All teachers have submitted and locked marks for all scheduled subjects.
- Attendance Logged: Term attendance working days and present days are recorded.
- Grading Scale Linked: The correct grading scale is configured for the class.
Running Batch Snapshot Generation
- Switch to the Generate tab.
- Select your Academic Year, Exam, and the Classes you want to process.
- Click Generate Snapshots.
- A live progress dialog computes the entire class cohort:
- Evaluates category weightages (e.g., 20% Internal + 80% Term Exam).
- Resolves Best-of-K rules and grace marks.
- Computes weighted CGPA and class rankings.
- Links Co-Scholastic grades and health records.
Step 2: The Multi-Stage Approval Pipeline
To ensure absolute accuracy before parents see results, Pasarai uses a linear moderation pipeline configured in LMS Configuration.
Navigate to the Approvals tab (/lms/report-cards?tab=approvals):
Roles and Actions
- Class Teacher Review:
- The class teacher inspects the generated report cards.
- Adds personalized narrative remarks for each student.
- Verifies attendance figures.
- Submits the batch for department review.
- Department Head (HOD) Moderation:
- Reviews marks distribution across sections to ensure grading fairness.
- Principal Sign-Off:
- The final administrative authority verifies the batch and clicks Approve.
Handling Corrections & Rejections
If a reviewer spots an error:
- Click Reject and enter a note (e.g., “Science practical marks need verification for Roll #14”).
- The snapshot reverts to
Draftstatus for correction. - Every approval, edit, and rejection is permanently timestamped in the Audit Log with the staff member’s profile identity.
Step 3: Scheduled Release & The Countdown Clock
Schools often want all parents to receive results at a specific moment (e.g., Friday at 10:00 AM).
The Scheduled Release Embargo
If your school’s release mode is set to SCHEDULED:
- Report cards can be fully generated, reviewed, and approved days in advance.
- When parents or students log in to the portal before the scheduled time, they see the Release Gated Countdown:
- Displays a live countdown timer showing days, hours, minutes, and seconds until publication.
- Prevents premature score leaks.
- Automatically unlocks the full report card the exact second the countdown reaches zero.
Step 4: Printing & Parent Distribution
Once report cards reach Released status, schools can distribute them across multiple channels:
1. High-Resolution Print Templates
Click Print Report Card or Batch Print Class to generate official physical report cards:
- Formatted specifically for standard A4 paper.
- Includes your school’s official crest, contact information, and affiliation details.
- Displays student portrait photo, roll number, and admission details.
- Clean scholastic grid showing maximum marks, marks obtained, grades, and grade points.
- Co-scholastic grades, discipline rubrics, and health indicators.
- Official signature lines for Class Teacher, Principal, and Parent/Guardian.
2. Digital Parent Portal
- Parents can log into the Pasarai mobile or web portal to view interactive interactive graphs of their child’s term progress.
- One-click Download PDF for archiving.
3. Automated Alerts
- Trigger automated SMS or WhatsApp notifications with a secure link informing parents that term results are now available.
Step 5: Holistic Progress Card (HPC / NEP 2020)
For schools adopting the National Education Policy (NEP 2020) and NCERT PARAKH standards, Pasarai supports the Holistic Progress Card (HPC):
The 3 Learning Domains
Instead of just testing academic memorization, HPC evaluates three distinct domains:
- Cognitive Domain: Knowledge, intellectual understanding, problem solving, and analytical reasoning.
- Affective Domain: Attitudes, values, empathy, emotional well-being, and social cooperation.
- Psychomotor Domain: Physical agility, sports, artistic creation, and practical laboratory motor skills.
360-Degree Evaluation
The HPC snapshot aggregates feedback from three perspectives:
- Self-Assessment: The student reflects on their own learning goals and strengths.
- Peer-Assessment: A classmate shares constructive peer observations on collaboration and teamwork.
- Teacher Assessment: The teacher provides authoritative synthesis and developmental milestones.
