Examinations Management

The Examinations module allows academic coordinators and administrators to schedule, manage, and publish school tests and examinations.

Where to find it: Go to LMS → Examinations (/lms/exams).

Key Concepts

To understand how scheduling works in Pasarai, it helps to understand these three terms:

  1. Examination: The overall exam cycle (e.g., “Mid-Term Assessment 2026-27” or “Annual Board Preparatory”). It defines the dates, term, and which classes are taking part.
  2. Exam Sessions: The standardized time windows of your school day (e.g., Morning Session: 09:30 AM – 12:30 PM and Afternoon Session: 01:30 PM – 04:30 PM).
  3. Exam Schedule: The specific appointment for each individual subject (e.g., Class 10-A, Mathematics, October 24th, 09:30 AM, Max Marks: 100, Pass Marks: 35).

Step 1: Creating an Examination

From the Examinations page, click Add Examination to open the creation dialog.

Required Fields

  • Exam Name: A clear descriptive title (e.g. Term 1 Summative Examination).
  • Exam Type: Pick the category that matches your assessment framework:
    • Mid-Term: Periodic tests and quarterly assessments.
    • Terminal: Half-yearly or semester-end examinations.
    • Final: Cumulative annual final examinations.
    • Practical: Laboratory or physical skill evaluations.
    • Internal Assessment: Regular classroom tests, assignments, or unit quizzes.
  • Academic Year & Term: Select the academic year and corresponding term (e.g. Term 1).
  • Date Range: The start date and end date of the exam period.
  • Participating Classes: Select all classes and sections taking this exam.

Defining Daily Exam Sessions

Inside the exam dialog, set up your standard session timings:

  • Morning Slot: e.g., 09:30 AM to 12:30 PM (180 mins).
  • Afternoon Slot: e.g., 01:30 PM to 04:30 PM (180 mins).

Why sessions matter: Defining sessions makes scheduling individual subjects quick. Instead of typing start and end times for 30 different subjects, teachers simply pick “Morning Session” from a dropdown.

Step 2: Scheduling Subject Timetables

Once an exam is created, click on it to open the Exam Detail View (/lms/exams/[id]).

Interactive Schedule Views

Pasarai provides three views to manage timetables according to your preference:

  1. Schedule Editor (Grid): Fast tabular entry where you can add, edit, or delete subject exam slots.
  2. Class-Wise View: Review the complete schedule for one specific class (e.g. Class 10-A’s entire week).
  3. Timeline View: A master calendar timeline showing all classes side-by-side to ensure no subject overlap.

Adding a Subject Schedule Slot

For each subject exam, specify:

  • Class & Section: The class sitting for the exam.
  • Subject: Selected from subjects taught in that class.
  • Exam Date: The day the test will take place.
  • Time Window: Start time and end time (or pre-fill via a session slot).
  • Maximum Marks: The total possible marks for the paper (e.g. 80 or 100).
  • Minimum Passing Marks: The minimum score required to pass (e.g. 33 or 35).

Built-in Clash Prevention

The scheduling engine automatically prevents conflicts:

  • A class cannot be scheduled for two exams at the same time.
  • A warning appears if an exam date falls on a school holiday or weekend configured in your academic calendar.

Step 3: Publishing the Schedule

When created, all schedules start in Draft status so your team can adjust dates freely.

Publishing to Students and Parents

Once your timetable is confirmed, click Publish Exam Schedule:

  • The status changes from Draft to Published.
  • The exam schedule immediately appears on the Student & Parent Portals.
  • Class teachers receive automated access to the corresponding markbooks under LMS → Grades.
  • Room and supervisor allocations can be downloaded or printed for noticeboards.

Step 4: Exam Analytics & Status Tracking

Navigate to the Analytics tab to monitor overall exam operational health:

  • Total Papers Scheduled: Overall count of scheduled vs pending subject papers.
  • Class Coverage: Verifies that all subjects in a class curriculum have a scheduled date.
  • Exam Completion: Once exams conclude, mark entry readiness can be audited before moving to report card generation.
