Admissions in SIS

Streamline admission application management.


Overview

The Admissions module simplifies the entire student enrollment process, from application submission to final onboarding. It is designed for Administration Staff, Sales Teams, and Frontdesk personnel to manage inquiries, applications, and admission cycles efficiently.

Prerequisites

Before using the Admissions module, ensure:

  • You have the SIS Module enabled for your institute.
  • Your user role has Admissions Manager or Admissions Staff permissions.
  • Academic Years and Classes are configured in the SIS settings.

Setup Guide

Follow these steps to manage the admission lifecycle:

  1. Create an Enrollment Window

    • Navigate to Admissions > Enrollment Windows.
    • Click Create Window to define an admission cycle (e.g., “Fall 2024”).
    • Set start/end dates and available classes to control when applications can be accepted.
  2. Process Applications

    • Go to the Applications tab to view incoming student applications.
    • Use status filters (New, Review, Shortlisted) to track progress.
    • Click on an application to review details and submitted documents.
  3. Conduct Interviews & Merit Lists

    • Schedule interviews for shortlisted candidates via the Interviews tab.
    • Generate and publish Merit Lists based on interview scores and criteria.
  4. Finalize Admission

    • Approve successful candidates.
    • Process admission fees under the Payments section.
    • Convert approved applicants to active students in the SIS.

Best Practices

  • Define Clear Windows: Create specific enrollment windows for each academic term to keep data organized.
  • Digital Documents: Encourage digital document submission to reduce paperwork and risk of loss.
  • Regular Updates: Update application statuses promptly (e.g., from “Review” to “Interview”) to keep applicants informed.
  • Use Reports: Utilize the Reports tab to analyze admission trends, conversion rates, and revenue.

Troubleshooting

  • “I can’t create a new application.”
    • Check if there is an active Enrollment Window. Applications cannot be created outside of valid dates.
  • “Applicant data is missing.”
    • Verify if the application was saved as a draft. Incomplete drafts may not appear in the main list.
  • “Payment status not updating.”
    • Ensure the payment gateway response was received. You can manually verify and mark payments as “Paid” if necessary.
