Grades & Markbook

The Grades & Markbook module is where teachers enter, audit, and analyze student scores. It supports direct online mark entry, offline Excel spreadsheets, attendance recording, re-examinations, and special student accommodations.

Where to find it: Go to LMS → Grades (/lms/grades).

1. Entering Student Marks

Click on any examination from the Grades Operations tab to open the exam’s Markbook (/lms/grades/[examId]).

Web-Based Mark Entry

  1. Select the Class & Section and the Subject you want to grade.
  2. The markbook displays a roster of all enrolled students with their roll numbers, photos, and current marks.
  3. Type the marks directly into the input cells:
    • The system checks inputs against the subject’s Maximum Marks in real time (e.g., you cannot enter 105 out of 100).
    • Grade bands (e.g. A1, B2) update automatically as you type according to your configured grading scale.

Tracking Exam Attendance

Every student in the markbook must have an attendance status:

  • Present: Student sat for the exam and receives a numeric mark.
  • Absent: Student was absent. When marked absent, select the reason:
    • Medical: Student missed the exam due to medical illness.
    • Transferred: Student transferred or relocated.
    • Other: Personal leave or unexcused absence.

How absence affects report cards: Depending on your institute’s Missing Data Policy, absent scores can either be marked as 0, excluded from aggregate percentages, or flagged as “Incomplete”.

Bulk Entry via Excel

For large classes, teachers can enter marks offline:

  1. Click Download Template to generate a pre-formatted .xlsx file containing student IDs, roll numbers, and names.
  2. Enter the marks and attendance offline.
  3. Click Import Marks to upload the spreadsheet. Pasarai validates all entries and highlights any rows with invalid marks before saving.

2. Managing Attempts & Re-Tests

Students sometimes apply for re-evaluations or sit for compartment (supplementary) examinations. Rather than overwriting historical data, Pasarai maintains an immutable audit trail of every sitting.

Open the Attempt Management Dialog for any student result:

Attempt TypeWhen to Use ItHow the System Handles It
ORIGINALStandard first sitting of the exam.Stored as the initial baseline score.
RE_EVALUATEDAnswer script re-checked by a second examiner. Both examiners’ scores are preserved in the audit log; the higher or updated mark becomes current.
RE_TOTALLEDRe-calculation of existing marks without re-grading answers.Fixes arithmetic addition errors while logging the change actor and timestamp.
COMPARTMENTOfficial re-appearance in a failed subject (Supplementary).Labeled clearly as Compartment on student transcripts as required by board bye-laws.

3. Student Accommodations & Concessions

For Children with Special Needs (CWSN) or students with temporary physical injuries, Pasarai supports formal exam concessions:

  • Extra Time: Grants additional minutes (e.g., 20 minutes per hour) during timed assessments.
  • Scribe: Records that the exam answers were dictated to an authorized scribe.
  • Reader: An assistant reads the question paper aloud for visually impaired students.
  • Lenient Grading: Applies an adjusted grade boundary threshold if mandated by educational authorities.

All concessions are permanently tagged to the student’s result entry for administrative and board auditing compliance.

4. Subject Groups & “Best-of-K” Rules

Certain boards (such as ICSE or CBSE Class 10) calculate aggregate percentages using a “Best 5 out of 6 subjects” formula.

In Pasarai, administrators can configure Subject Groups:

  • Best-of-K Resolution: If a student takes 6 subjects, the system automatically identifies their top 5 highest-scoring subjects to calculate overall percentage, GPA, and class rank.
  • Mandatory Subject Pinning: You can specify that core subjects (like First Language or Mathematics) must be included in the aggregate, even if a student scored higher in an optional skill subject.

5. Publishing Grades & Operational Health

Once teachers finish entering marks for an exam:

  1. Click Publish Grades on the exam detail page.
  2. Publishing marks locks the markbook against unauthorized teacher modifications.
  3. Final scores are transferred to the Report Cards Engine, ready for snapshot generation.

6. Academic Insights & Early Interventions

Visit the Insights and Interventions tabs under LMS → Grades to monitor student performance before report cards go out:

  • Pass Rate & Subject Averages: Compare performance across different sections and subjects.
  • Class Leaderboards: Identify top-ranking students and academic honors.
  • At-Risk Students List: Automatically flags students who:
    • Scored below passing threshold in one or more subjects.
    • Experienced a significant score drop compared to previous terms.
    • Have low attendance combined with borderline marks.
  • Recommended Actions: Click directly on an at-risk student to schedule a remedial class, request a class teacher review, or organize a parent meeting.
